ADMINISTRATIVE SUPPORT 4 (GR8) - Pathology & Laboratory Medicine
To provide administrative support to the Department Head and Director. MARKETING AND COMMUNICATIONS ASSISTANT (GR 5) - Centre for Sustainable Food Systems at UBC Farm
To coordinate cost-recovery operations, including farm marketing and sales operations of the teaching and research farm at the Centre for Sustainable Food Systems. Major responsibilities include: overseeing daily marketing operations including the planning, prioritization and supervision of the Saturday Farmer's markets and customer produce box program; developing and maintaining partnerships to provide new markets for farm produce, communicating with customers, researching and establishing prices, delivering produce, and maintaining sales records; collaborating to develop and implement direct-marketing strategies; providing practical instruction for students, volunteers, and new staff members in direct marketing techniques; maintaining and monitoring sales and harvest records and assisting with general financial record keeping; collaborating to produce annual marketing reports; collaborating to procure new point of sale and processing equipment; monitoring marketing materials inventory and ordering marketing materials and supplies; and performing other related duties. -
FINANCIAL PROCESSING SPECIALIST 1 (GR1) - Interprofessional Continuing Education
To provide support of computer registration services for Interprofessional Continuing Education. Duties include: keeping up-to-date on knowledge about conferences offered; answering enquiries about conferences and courses; registering participates for courses or conferences; collecting payment details; mailing, faxing or emailing brochure information; assisting in preparing materials; receiving and processing registrations; ensuring incoming registrations are complete and accurate; performing data entry; checking computer-generated receipts for accuracy and mailing to registrants; filing; preparing and sending invoices to registrants; following-up on payments not received and processing refunds for registrants as needed; and performing other related duties. -
FINANCIAL PROCESSING SPECIALIST 4 (GR 5) - Financial Services
To verify the authorization, accuracy, and completeness of data submitted on various requisitions and process requisitions for payment. Duties include: verifying and processing Travel Requisition forms; coordinating with Payroll and Research and Trust Accounting on withholding tax and research project grant transactions; assessing the accuracy of GST and PST on requisitions; ensuring appropriate tax forms are issued; investigating and rectifying requisitions discrepancies; preparing and entering journal vouchers and cash receipts; performing collection procedures for payments made to wrong vendor/payee; answering queries and resolves problems; and performing other related duties. -
GRAD STUDENT SUPPORT 3 (GR8) - Civil Engineering
To coordinate the administrative functions associated with the graduate student program in the Department of Civil Engineering. Duties include: corresponding with prospective graduate students; providing information on requirements; evaluating transcripts and assessing eligibility; preparing application files; processing letters of acceptance, rejection and incomplete standing; acting as a liaison for prospective students with faculty and students, and other departments; monitoring graduate student progress; monitoring, opening and registering students into course sections; maintaining graduate student database and providing statistical information; advising students of policies and procedures; processing paperwork for the Ph.D. final examinations; processing and evaluating graduate awards; managing graduate student TA/Markers appointments; creating and maintaining graduate student documents and files; monitoring and assigning desks for graduate students; and performing other related duties. -

To administer the Department's Graduate Program. Duties include: assisting in planning, designing, and implementing policy decisions; monitoring graduate student progress, academic grades, breadth requirements, thesis proposals, and committee memberships; updating information systems and maintaining files and records; coordinating graduate admissions and applications; assisting in the recruitment of top graduate students; rejecting unsuccessful applications; interpreting and clarifying Faculty of Graduate Studies' policies and procedures; assisting and advising students in course registration; arranging breadth examinations and committee meetings; ensuring students meet graduation requirements within the time limits; assisting to allocate financial support, employment opportunities, and office space to graduate students; preparing and authorizing Student Appointment Forms; organizing the graduate orientation function; developing, editing, and coordinating the publication of promotional program materials; coordinating the NSERC Postgraduate Scholarship and University Graduate Fellowships applications process; participating in interviews and making recommendations on the hiring and evaluation of student assistants; and performing other related duties. -

To provide technical and administrative support by setting up and maintaining the Teacher Education Office website. Duties include: adding new text, photos, and graphics; converting and editing existing publications to web publications; checking links and graphical elements; redesigning historical publications; creating new graphics, logos and banners; creating and editing brochures, posters and other in-house publications; creating web pages and tables; acting as a resource for staff on web-related issues; identifying website problems and resolving issues; compiling, reviewing, analyzing, reporting on and providing recommendations on web site usage statistics; editing video and digital images/photography; providing back up to reception and support staff; assisting with annual events; and performing other related duties. -
